Overview
Automated live transcription and captions across supported university meeting platforms (Zoom, Microsoft Teams, Google Meet) are set to OFF by default, but remain unlocked.
Meeting hosts and organizers may manually enable live captions or full transcription on a per-meeting or account basis whenever needed.
Platform-Specific Guides
- Zoom: For detailed steps on enabling automated captions and live transcripts for your Zoom account or during an active meeting, refer to the Official Zoom Automated Captions & Transcripts Guide.
- Microsoft Teams: Organizers can turn on live transcription during a meeting via More (...) > Record and transcribe > Start transcription.
- Google Meet: Organizers/participants can turn on live captions via the CC icon on the bottom toolbar. Live transcripts can be generated via Activities (shape icon) > Transcripts > Start Transcription.
Beyond Meeting Platforms: Additional Tools & Faculty Resources
For transcription needs outside of live meetings (e.g., lecture recordings, static audio file transcription, or classroom accommodations):
- Panopto (Course Media & Lecture Capture): Faculty needing automated closed captioning or transcripts for pre-recorded lectures or instructional videos should utilize Panopto integrated within Canvas.
- Gemini Enterprise (Secure Audio Transcription): For transcribing pre-recorded audio files securely within UAH's environment, users can upload audio directly into Gemini Enterprise to generate static text transcripts and summaries.
- Accessibility & Accommodations: For general guidance on digital media accessibility, instructional captioning, or student accommodation workflows, faculty should refer to the UAH Accessibility & Digital Tools Page or contact the Enhanced Teaching and Learning Center (ETLC).
Third-Party AI Assistants Notice
Unapproved third-party AI transcription bots (e.g., Read.ai, Otter.ai) that automatically join meetings or ingest administrative/academic data without an executed institutional contract are strictly prohibited due to privacy and security policies.
