Overview
UAH provides faculty and staff with secure, enterprise-grade access to Google’s generative AI suite, including Google Gemini and NotebookLM. Unlike public AI tools, these services operate within a protected "walled garden." This ensures that your prompts and uploaded data remain private to the university and are never used to train Google’s global AI models.
While NotebookLM is available now to all UAH users, Google Gemini will officially launch for all faculty and staff on April 20, 2026. Early access for pilot participants begins March 23.
Features and Benefits
Enterprise-Grade Security
- Walled Garden Protection: Your data is siloed within the UAH environment. Google does not see your data, and it is not used to train public AI.
- SSO Integration: Access tools securely using your standard UAH ChargerID and multi-factor authentication.
- Enterprise Shield: Visual verification (the "Shield" icon) confirms you are working within the protected UAH workspace.
- Privacy & Integration: Gemini does not scan your UAH Gmail or Drive unless you choose to connect them. To enable this, visit Connected Apps in your Gemini settings and toggle on Google Workspace. Access can be revoked instantly at any time.
Google Gemini (Assistant-Based AI)
- Creative Partnering: Use Gemini to brainstorm lesson plans, draft administrative communications, or summarize long threads of information.
- Workspace Integration: Optionally connect Gemini to your UAH Google Drive or Gmail to find information across your documents (requires manual extension activation).
NotebookLM (Research-Based AI)
- Source-Grounded Accuracy: "Ground" the AI in your specific documents (PDFs, text files, or Drive links). The AI only answers based on the sources you provide.
- Citation Anchors: Every response includes direct citations and links to the specific paragraph in your source material, significantly reducing "hallucinations."
- Private Notebooks: Create separate notebooks for different research projects or courses to keep information categorized and secure.
Eligibility
- Faculty & Staff: Eligible for both Google Gemini and NotebookLM.
- Students: Currently eligible for NotebookLM only. There is no established date for student access to Gemini at this time.
Requirements
- Account: Active UAH Google account.
- Policy adherence: Compliance with UAH Protection of Data Policy (06.01.01).
- Human-in-the-Loop: Per UAH policy, users are responsible for the accuracy and appropriateness of all AI-generated content used for university business.
- Skills Training: It is highly recommended that users complete available Google Skills Training before requesting advanced technical support.
