How to: Surplus Computer

Introduction

Before surplusing any computers (desktops, laptops), OIT (Office of Information Technology) must ensure all hard drives are removed and securely wiped. This is a critical step to guarantee that all data is permanently destroyed before UAH releases or sells the equipment. 

These steps are only required for Computers, Laptops and External Hard drives.

Printers, monitors, keyboards, mouse and other general computer accessories that do not contain hard drives are not required to be assessed by OIT before being submitted to Asset Management.

Once OIT confirms that the data has been securely erased and devices have been removed from UAH Management Systems, the university may proceed with the sale or disposal of the devices.


Steps

  1. Fill out and Submit the Surplus Pickup Form

    • Click ‘Surplus Pickup Request’

      • If this is not the first time, Click on ‘NEW’

    • Add each item as a separate entry 

      • UAH Property Tag

        • For Non-Tagged Equipment Or Furniture List N/A

      • Item Description

      • Serial Number

        • If No Serial Or Service Tag Number List N/A
           

  2. For selected Item Type : Computers, Laptops and/or External Hard drives 

    • A notification will be sent to helpdesk@uah.edu to create a TDX Service Request
       

  3. OIT will send a notification to the requestor to schedule a site visit for surplus services

    • Collect device information 

    • Remove HDD/SDD

    • Remove device(s) from UAH Management Systems
       

  4. After surplus services are complete, a status update notification will be sent : 

    • To the requestor 

    • To Asset Management
       

  5. Once Asset Management receives the notification from OIT, a member of the team will contact the requestor to schedule Surplus Pickup Services
