Google Workspace for Outlook Mailbox Size Limit

When using Google Workspace Sync to access your UAH Gmail inbox, it defaults to a 1 GB limit during the install of the tool. Should the 1 GB limit be met during the sync, it may appear that folders are in place but many emails are missing. Since most users tend to need access to historical emails within the client, it is recommended to change this setting to Unlimited.

Setting the mailbox sync size to unlimited:

  • Open up Outlook using your usual Google Workspace profile.

  • Look for the icon for Google Sync in the bottom right corner of your task bar near the date & time area. It should be two green arrows in a circle shape. If you have many icons, you may have to click the up arrow to show any that are hidden.

  • Right-click the icon to bring up a menu, then left-click Set mailbox size limit...

  • Change the size limit from the current setting to Unlimited (slowest) and click OK.

  • Restart Outlook and see if missing messages continue to sync. Note that for exceptionally large inboxes it can take some time for everything to show up and might have to sync overnight.

  • If the sync completes (or fails to complete) and you are still missing messages in Outlook, try opening up Gmail in the browser and search for one or two and make sure they are showing up there. If so, then the Outlook profile may need to run a resync or be recreated with a new, full sync of the inbox.
