Google 2-Step Verification - Troubleshooting Issues With Email Clients, Calendar Apps, and Contacts

Do you use an email client or app like Microsoft Outlook, Apple Mail, or Thunderbird? Do you use a Calendar app like Apple Calendar or sync your Google contacts to your Apple device?

Some users using non-Google apps to access their UAH email, calendar, or contacts receive an error stating that their username or password is incorrect. Read below for information on why this error occurs and how you can restore access to your Google account data.

Why Does This Happen?

As of early 2021, Googele Workspace accounts only allow access to apps using a secure access method called OAuth. When you try to access your Google account from a less secure app that doesn't use OAuth, you will be given an incorrect username/password error. 

Restore Access to Your Google Account

Apple Mail, Calendar, and Contacts

If your UAH Google account is linked to the Mail or Calendar app on iOS/MacOS, if you are syncing your UAH contacts to iOS/MacOS, or if you are using Outlook for Mac, try removing and re-adding your account. When you add it back, select sign in with Google to automatically use OAuth. This will prompt you to log in to your UAH Google account directly.

Microsoft Outlook

OIT recommends utilizing Google Workspace Sync for Microsoft Outlook (GWSMO). Learn how to set up GWSMO. Additionally, learn about the advantages of GWSMO over IMAP.

Alternatively, if you are using stand-alone Outlook 2016 or earlier, move to Office 365 (a web-based version of Outlook) or Outlook 2019, both of which support OAuth access.

Mozilla Thunderbird

If you are using Thunderbird, re-add your Google Account and configure it to use IMAP with OAuth2. Learn how to use OAuth2 with Thunderbird and Gmail.

Other apps

If you are using another email client, re-add your Google Account and configure it to use IMAP with OAuth2. If you use CalDAV to give an app or device access to your calendar, or if your Google Workspace account is syncing contacts to any other platform or app via CardDAV, switch to a method that supports OAuth.

Many applications now have a "Sign in with Google" option. This is the preferred method for keeping your account secure while using third-party apps. 

If your app doesn’t offer “Sign in with Google” and you cannot switch to a more secure app or device, you might choose to use Google's app passwords feature. An app password is a 16-digit passcode that gives a less secure app or device permission to access your Google Account. Learn more about app passwords.
