Migrate Your UAH Email Account to Your New Alumni Account

May I keep my email history and My Drive files from my @uah.edu account?

Students who leave the university may keep their email account for three terms from the last term in which they were registered. Accounts are suspended manually after this time period ends.
 

How can I get a copy of my email history and My Drive files from my @uah.edu account?

Google Takeout helps you to download or transfer content from your UAH Google Account to an Alumni Account or other Google Account. This allows you to keep files and emails when you graduate, switch schools, or leave UAH.

NOTE: Files in Shared drives, Files in My Drive where you are a viewer, and Files for which the owner has turned off the download, print, and copy options are not able to be transferred or downloaded.

Transfer Email and Google Drive Files to another Google Account

  1. Sign in to your UAH Gmail account
  2. Make sure content that other people have shared with you has been added to your My Drive and not only available in “Shared with me”.
  3. Go to takeout.google.com/transfer.
  4. Enter the email address of the destination Google account. (Alumni or other Google Account)
  5. Select Send code.
  6. Check your Alumni or Other Google account for the confirmation email, and in the email, select Get confirmation code.
  7. A new tab will open with a code. Copy this code.
  8. Return to takeout.google.com/transfer and enter the code, and choose Verify.
  9. Choose the content you’d like to copy and select Start transfer.

 

  • The copy process usually takes a few hours, but can take up to a week depending on the amount of content.
  • Copied files may appear in batches in the destination Google account during the copy process.
  • When the process is complete, you will receive a confirmation email to your Alumni or Other Google Account.
  • Gmail: Copied Gmail content will appear with a label containing your UAH student account name and the date you started the copy process.
  • Drive: Copied content will be in a folder labeled with your UAH student account name and the date you started the copy process.
     

Download all of your Google Account data

Google Takeout allows you to download any of your data associated with its services.

  1. While signed in to your UAH Student Google Account, browse to takeout.google.com.
  2. Select the data you wish to download, one of the available formats, and click Next Step.
  3. Choose your preferred delivery method, Frequency, file type, and size, then Create export.
  4. Once the export is completed, it will be delivered to the specified location.

I heard that I could migrate my email data from the OIT User Services Portal. Is that not true?

In the past, you could migrate your mail from your UAH email account to another Google Mail account (such as your @alumni.uah.edu account) using the migration tool at the OIT Portal. Google changed their security standards during the Spring 2016 semester which caused the migration tool in the OIT User Services Portal to fail. A workaround for it is to allow the less secure apps in your Gmail accounts temporarily while you migrate your data in the OIT User Services Portal. More information about how to allow less secure apps in your Gmail settings is available here.

This will copy your email only, and a set of special email folders will be skipped, including Trash, Spam, All mail, Sent, and Drafts. The login for each account is your entire primary email address (including the @uah.edu, @alumni.uah.edu or @gmail.com part). Please note:

  • It is likely that you will need to allow less secure apps to access your account. For more information, click here. Please disallow the secure apps once your email has finished being copied.
  • The email migration uses IMAP to transfer messages. Please ensure IMAP is enabled in both accounts. Configuration is under Settings > Forwarding and POP/IMAP > Enable IMAP and don't forget to click Save changes then re-try the migration.
  • Using this tool repeatedly should not create duplicate email messages in the destination account. However, no guarantee is made.
  • Google groups similar messages together as conversations which means the number of email conversations you see when using your email will appear to be much less than the individual message counts.
     

If I can use the migration tool in the OIT User Services Portal, what are the appropriate steps for that?

  1. Go to the OIT Portal and log in with your Charger ID and password.
  2. Click on the Google selection tab.
  3. Click on the Migration tab.
  4. Enter the complete email address and password for the account you wish to transfer.
  5. Enter the complete email address and password for the destination account.
  6. Check only the Email Checkbox. (All others must be migrated using Google Takeout.)
  7. Click on Begin Transfer.
