Google Account Lifespan - Don't lose your files when you graduate!

Overview

All the hard work you've done as part of your UAH academic career needs to go with you as you take your next step. Files, email, and other work that you've accumulated don't automatically transfer somewhere else; you need to take steps to get that information so you can continue using it.

Follow the steps below to setup your alumni email account, transfer your old email and files, and let people know where to reach you going forward.

Gmail and Drive

A G Suite account will be created for you on UAH's Alumni Google domain (@alumni.uah.edu) automatically. This is done in batch at the end of each semester (as of Summer 2017). The details about your new Alumni Google account will be sent to you.

Next, inform others of your new email account by emailing your contacts with the information. Also, set a "vacation responder" on your old account.

  1. Click the gear logo in the top right, then Settings
  2. Scroll down to Vacation Responder
  3. Set the date and corresponding options for your response

Note: Emails sent to your address will bounce after your @uah.edu account is suspended. The suspension happens approximately one year after your last term enrolled ends.

Copy your Gmail and Drive content to your new email address

  1. Go to Google Takeout Transfer
  2. Enter your alumni email address (or wherever you want your content to go)
  3. Click the blue Send Code button
  4. Open an incognito window in Chrome by clicking Ctrl + Shift + N
  5. Sign in to your alumni email account: https://mail.google.com/
  6. Open the message entitled Verify your account and click the blue Get confirmation code button.
  7. Copy your unique confirmation code and click the blue "Continue" link at the bottom of the page
  8. Sign into your UAH account
  9. Click the blue Start Transfer button

The process to transfer content can take up to a week to complete. You’ll receive an email when it is finished.
 

Calendar

If you would like to transfer Calendar events from your UAH account to your new account, do the following.

  1. Log into your UAH Google Calendar
  2. In the top right, click the settings gear
  3. Select Settings
  4. Open the Calendars tab
  5. Click the Export calendars between the My Calendars and Other Calendars sections
  6. A ZIP file will be downloaded to your computer. If you open the .ZIP file, you'll see individual ICS files for each of your calendars
  7. Take those ICS files out of the ZIP file
  8. Log into your Alumni Google Calendar
  9. In the top right, click the settings gear
  10. Select Settings
  11. Open the Calendars tab
  12. Click Import calendars between the My calendars and Other Calendars sections
  13. Click Choose Files and select all the ICS files that you extracted from your ZIP file
  14. Choose which calendar to add the imported events to. By default, events will be imported into your primary calendar
  15. Click Import
     

Contacts

If you would like to transfer contacts from your UAH account to your new account, do the following.

  1. Sign into your UAH account
  2. At the top left, click Mail > Contacts
  3. Click More > Export...
  4. If you have the new Google contacts preview enabled, you will be asked to move to the old Google Contacts in order to export. Click GO TO OLD CONTACTS
  5. Click More > Import...
  6. Make sure All Contacts and Google CSV format are selected.
  7. Click Export
  8. The file will typically download to your Downloads folder, unless you have your default set to another location
  9. Sign into your Alumni account
  10. At the top-left corner, click Gmail > Contacts
  11. Above the contact list, click More > Import...
  12. If you have the new Google contacts preview enabled, you will be asked to move to the old Google Contacts in order to export. Click GO TO OLD CONTACTS
  13. Click More > Import...
  14. Click Choose File
  15. Select the file that you downloaded from your student account
  16. Click Import
  17. When it's done, Gmail will display the number of contacts imported
  18. If there are duplicate contacts, you will be given the option to Find & Merge duplicates
     

Other Services

If you used your UAH email to register for any external services (Facebook, Twitter, Paypal, etc.), make sure to change the email address in these services to ensure you do not lose access to these.

You might be able to figure out various services by searching for terms like "account", "registration", and "activate" in your email.
 

Chargerware Licenses

While you are a student at UAH, you have access to a variety of licensed software made available to you for academic use. Now that you are leaving, you should remove such software from your personal computer. Since these programs are only licensed to members of the UAH community, you no longer are eligible to use these programs.

This only applies to software that was obtained through Chargerware or your departments resources. Anything that was obtained before or purchased yourself should not be removed.
